What it’s about
 

We are looking for a highly experienced Personal Assistant who will be working closely with the Director and the Editorial Director of Cambridge Exams Publishing.  In addition you will provide support to the Cambridge Exams Publishing Resource Team. You will be working with a Joint Unit (Cambridge Assessment English and Cambridge University Press) so the candidate must be flexible, hands-on and be capable of multi-tasking.

What you’ll be doing

  • Act as Personal Assistant to the Cambridge Exams Publishing Director providing diary management, travel arrangements and expenses management.
  • Act as the point of contact for the Director and Editorial Director regarding Corporate Board meetings and sourcing required documents.
  • Take minutes of meetings and summarise important documentation required for both Cambridge Assessment English and Cambridge University Press.
  • Support the Cambridge Exams Publishing Resource Team with travel booking, arranging meetings, reporting and general administrative support.

What we’re looking for

  • An experienced team administrator with PA experience and excellent MS Office skills.
  • A strong team player who is diplomatic, trustworthy, pragmatic and personable.
  • A highly motivated individual, able to work independently and manage their time effectively to meet tight deadlines.
  • A great communicator (written and verbal) with strong attention to detail.
  • Previous experience of working with joint units would be an advantage.

JOB PURPOSE

 

To provide professional personal assistant support to the Director and Editorial Director of Cambridge Exams Publishing to enable them to operate efficiently and effectively, and achieve growth for the Joint Unit through increased revenue and profit.

 

 

PRINCIPAL ACCOUNTABILITIES

 

This role provides Personal Assistant support to the Cambridge Exams Publishing Director and Editorial Director working across both Cambridge Assessment English and Cambridge University Press, within a Joint Unit “Cambridge Exams Publishing”.

 

Principle Accountabilities:

  • Administer the Director and Editorial Director’s demanding diary and travel arrangements.  To include prioritising, scheduling, organising and preparing for meetings.  To attend certain regular meetings as minute taker.
  • To manage the Director and Editorial Director’s substantial internal and external communications (i.e. emails, letters, telephone calls), to include managing their email account by reading, fielding, printing out, prioritising and responding, where necessary on behalf of the Director to all relevant communications, and prioritizing alerts to the Director.
  • Prepare high-quality documents, in text, spreadsheet, or presentation format both in paper and digitally for meetings.
  • Manage the Director and Editorial Director’s Action Items and To Do lists.
  • Establish, maintain and retrieve from records and filing systems, both paper-based and digital required documents.  To include processing expenses, maintaining records of annual leave for Director and other employees who report to the Director and general filing.
  • Manage the Director and Editorial Director’s attendance at conferences and other events, including discussing timings, locations and security.
  • Support the Business Support Manager and Business Resource Team on major programmes and projects. To include working with others to whom projects have been delegated by providing administrative support.

Fielding and producing internal and external correspondence, where appropriate, without reference to the Director and Editorial Director.  To involve working closely with the Business Support Manager and Resource Team in co-ordinating responses to stakeholders’ requests within deadlines
